Project Manager
Position: Project Manager
Reports to: Project Manager Group Lead
Project Manager Job Description:

The project manager will be responsible for the coordinating and planning of resources, materials and process to ensure timely and cost efficient management of all projects.

Essential Duties and Responsibilities:

  • Ensures Projects execute on time and on budget
  • Works cooperatively with clients, fellow employees, contractors, management and suppliers.
  • Adheres to IAI’s ISO9000 quality policy and procedures.
  • Manages all assigned tasks in a neat and timely fashion.
  • Utilizes IAI Quotation and Customer Project for Quotation (RFQ) to understand client requirements, determine project direction and required projects features.
  • Communicates project concerns, project status, and design solutions with management, fellow staff and clients
  • Assists in the generation of corrective action plans and defines clear direction.
  • Works with contract designer(s) to ensure proper Innovative procedures are followed and gives direction on process requirements.
  • Works to generate clear direction for all Innovative teams including design and development.
  • Works in conjunction with the other members of the team, such as the electrical designer and the mechanical assembler/developer during all stages of machine design/build.
  • Defines process changes that are required to meet overall project requirements.
  • Assists other IAI personnel during the equipment build, observes, monitors and directs how the build is progressing.
  • Able to handle attention to detail, tight deadlines, responsibility, accountability and has ability to multi-task.

Essential Scheduling Duties and Responsibilities:

  • Quotations, control of ECN’s and Service Reports
  • Negotiates with customers and suppliers on goods and services
  • Scheduling of resources
  • Scheduling of materials
  • Definition of process changes to meet overall project requirements
  • Use of Microsoft Project to conduct long term scheduling
  • Time of Day short term scheduling using Microsoft Excel
  • The management of human resources for multiple departments
  • Generation and maintenance of open issue log
  • Presentation of open issues
  • Organize and direct project meetings

Essential Service Coordinator Duties and Responsibilities:

  • Schedule on site installations, start-ups, and customer training
  • Scheduling service:
    • Appropriate manpower
    • Collection of all required purchase orders
    • Ordering of required components, both purchased and manufactured
    • Expediting components for service/Expediting purchased items
    • Service Report generation and management
      • Closing of service reports
      • Collection of purchase order
      • Generation of Billable hours
      • Travel/General Expenses
      • Costing of Materials
  • Weekly reporting on service reports/Call status
  • Forwarding completed or any billable service reports to accounts receivable
  • Follow-up on service quality including cost, general quality and timelines of work
  • Generate ongoing process improvements to the service process

Other Essential Duties and Responsibilities:

  • Contractor invoice/Employee Time Card Approval
    • Verify time card and contractor invoice work codes and job codes and ensure they are recorded properly on each time card for accuracy of job costing
  • SR & ED
    • Responsible for allocation of labour and materials to appropriate SR & ED general ledger codes
    • Preparation of written SR & ED reports by job
  • Responsible for arranging shipping documentation for outgoing equipment shipments including and understanding customs, invoices and NAFTA certificates
  • Occasional travel as required globally

Physical Demands:

This position requires constant sitting with occasional standing and walking. It requires occasional cervical flexion, the chin to chest movement. Maximum lifting weight can reach about 75lbs with the maximum carrying weights reaching close to 50lbs and the maximum pushing and pulling weights reaching 100-150lbs. This position requires constant forward and lateral reach. Constant handling, use of fingers and pinching are required. Working in this position requires a very strong ability to work alone and self-supervise as well as the ability to supervise others.

Education Requirements and Experience:
  • Minimum Diploma in Engineering (Engineering Degree preferred) or Equivalent Specialized Experience
  • Certified as a PMP or in the process of being certified as a PMP
  • Understanding of the use of Solidworks.
  • Proficient in Microsoft Office: Microsoft Outlook, Microsoft Excel, Microsoft Word and Microsoft Project
  • Skills are required to perform multiple, technical tasks with a need to periodically upgrade skills in order to meet changing job conditions
