Intermediate Project Manager
Position: Intermediate Project Manager
Reports to: Project Management Group Leader
General Purpose of the Job:

Coordinating and planning of resources, materials and process to ensure timely and cost efficient management of the projects.

Junior Project Manager Essential Duties and Responsibilities:

  • Works cooperatively with clients, fellow employees, contractors, management and suppliers.
  • Adheres to IAI’s ISO9000 quality policy and procedures.
  • Manages all assigned tasks in a neat and timely fashion.
  • Utilizes IAI Quotation and Customer Project for Quotation (RFQ) to understand client requirements and required project features.
  • Communicates project status and concerns with management, IAI team and clients
  • Participates in the generation and communication of corrective action plans with department managers and key team members. Assists in the communication of the action plan clearly to all involved parties both internal and external
  • Works to communicate design, process and timeline direction to all Innovative teams.
  • Works in conjunction with the other members of the team, such as the electrical designer and the mechanical assembler/developer during all stages of machine design/build.
  • Communicates process changes that are required to meet overall project requirements.
  • Documentation of process changes to meet overall project requirements
  • Assists other IAI personnel during the equipment build, observes, and monitors how the build is progressing.
  • Able to handle attention to detail, tight deadlines, responsibility, and has ability to multi-task.
  • Monitors Project timeline and communicates concerns with management and fellow team members.
  • Participates in the coordination and communication of installation plans with client, department managers and key team members. Assists in the communication of the installation plan clearly to all involved parties both internal and external. Duties include:
    • Organizing and verifying customer training
    • Communicating customer requirements to customer
    • Organizing travel details for IAI personal
  • Coordinates Service Calls including:
    • Clear communication with client and management on scope of service
    • Works with management to determine priority level of service call and establish timeline.
    • Works with management to determine required resources
    • Works with Sales or management for preparation of quote
    • Works with Sales or management in negotiation of chargeable service with customer and is responsible for collection of Purchase Order.
    • Ensures service is completed and invoiced as required.
    • Responsible for ensuring that required components, both purchased and manufactured, have been procured.
    • Coordinates shipping of any required material
    • Reports on status of open Service Reports to management on regular basis
  • Assist Sales Account Manager to negotiate and quote ECNs on projects.
  • Understand quoting process and able to communicate status of ECN to client and team members and track ECNs through process to completion.
  • Assist Management with scheduling resources and materials and work with management in communicating to IAI team and client.

Intermediate Project Manager Essential Duties and Responsibilities:

  • Responsibilities listed under Junior Project Manager.
  • Utilizes IAI Quotation and Customer Project for Quotation (RFQ) to understand client requirements, and participate in determination of project direction and required projects features with management.
  • Recognizes and communicates project concerns, project status with management, fellow staff and clients. Coordinates efforts with Management to determine design solutions or corrective actions and monitors efforts to implement corrective actions.
  • Coordinates the generation and communication of corrective action plans with department managers and key team members. Communicates the action plan clearly to all involved parties both internal and external.
  • Works with management to generate and communicate design, process and timeline direction to all Innovative teams.
  • Identifies areas of project that requires process changes to meet overall project requirements and works with management to generate appropriate process change.
  • Documentation of process changes to meet overall project requirements
  • Assists other IAI personnel during the equipment build; observes and monitors how the build is progressing.
  • Able to handle attention to detail, tight deadlines, responsibility, accountability and has ability to multi-task.
  • Ensure Project is executed on time and monitors budget and communicates concerns with management and fellow team members.
  • Coordinates and communicates installation plans with client, department managers and key team members. Responsible for communication of the installation plan clearly to all involved parties both internal and external. Duties include:
    • Organizing and verifying customer training
    • Communicating customer requirements to customer
    • Organizing travel details for IAI personal
    • Monitoring budget for installation of project
  • Coordinates Service Calls including:
    • Clear communication with client and management on scope of service
    • Determine priority level of service call and establish timeline.
    • Determine required man power

  • Work with Sales Account Manager to negotiate and quote large value ECNs on projects.
  • Negotiate and quote small value ECNs with client.
  • Follow quoting process and communicate status of ECN to client and IAI team members and track ECNs through process to completion.
  • Negotiate with contractors and suppliers on delivery and/or cost of required purchased goods and services.
  • Work with Management to determine and schedule required resources and materials. Responsible for communicating to IAI Team members.

Senior Project Manager Essential Duties and Responsibilities:

  • Responsibilities listed under Junior and Intermediate Project Manager.
  • Utilizes IAI Quotation and Customer Project for Quotation (RFQ) to understand client requirements, determine project direction and required projects features.
  • Communicates project concerns, project status with management, fellow staff and clients. Determines possible design solutions or corrective actions and leads efforts to implement corrective actions.
  • Responsible for the generation and communication of corrective action plans with department managers and key team members. Communicates the action plan clearly to all involved parties both internal and external.
  • Works with Design Manager and contract designer(s) to ensure proper Innovative procedures are followed and gives direction on process requirements.
  • Generates and communicates design, process, timeline and development direction to all Innovative teams.
  • Defines process changes that are required to meet overall project requirements.
  • Documentation of process changes to meet overall project requirements
  • Assists other IAI personnel during the equipment build, observes, monitors and directs how the build is progressing.
  • Able to handle attention to detail, tight deadlines, responsibility, accountability and has ability to multi-task.

Other Essential Duties and Responsibilities:

  • Contractor invoice/Employee Time Card Approval
    • Verify time card and contractor invoice work codes and job codes and ensure they are recorded properly on each invoice for accuracy of job costing
  • SR & ED
    • Responsible for allocation of labour and materials to appropriate SR & ED general ledger codes
    • Manage process for documentation SR & ED related work.
    • Preparation of written SR & ED reports by job
  • Responsible for arranging shipping documentation for outgoing equipment shipments including and understanding customs, invoices and NAFTA certificates
  • Use of Microsoft Project to conduct long term scheduling
  • Time of Day short term scheduling using Microsoft Excel
  • Generation and maintenance of open issue log
  • Presentation of open issues
  • Organize and direct project meetings
  • Occasional travel as required globally

Physical Demands:

This position requires constant sitting with occasional standing and walking. It requires occasional cervical flexion, the chin to chest movement. Maximum lifting weight can reach about 75lbs with the maximum carrying weights reaching close to 50lbs and the maximum pushing and pulling weights reaching 100-150lbs. This position requires constant forward and lateral reach. Constant handling, use of fingers and pinching are required. Working in this position requires a very strong ability to work alone and self-supervise as well as the ability to supervise others.

Education Requirements and Experience:
  • Minimum Diploma/Degree in Engineering (Engineering Degree preferred) or Equivalent Specialized Experience
  • Certified as a PMP or in the process of being certified as a PMP is an asset
  • Proficient in Microsoft Office: (Outlook, Excel, Word, Powerpoint) and Microsoft Project
  • Skills are required to perform multiple, technical tasks with a need to periodically upgrade skills in order to meet changing job conditions
